Events Department

The Events Department is responsible for organizing Nationals, developing and maintaining the NAIGC’s event management procedures, and coordinating resources (software, awards, insurance, people, procedures, etc.) among the NAIGC’s sponsored events, including all Regionals and Nationals. The Events Department also is responsible for reviewing and revising competition rules and structures at Nationals and NAIGC sponsored events. Description of Role: The MAG Judge Coordinator is responsible for obtaining judges for Nationals, building relationships with judges across the nation, and helping build resources and guides to assist clubs and NAIGC volunteers find judges for competitions. The judge coordinator will also handle inquiries at Nationals.

The MAG Judge Coordinator should be a certified judge and will report to the MAG Rules Coordinator and be a member of the MAG Rules Team and the Event Sanctioning Team.

Time Commitment Expectation: 1-2 hours/week (3-4 hours/week March-April)

Description of Role: The MAG Information Coordinator will be responsible for keeping MAG rules and guide documents up-to-date, managing MAG rules website content, evaluating skill submissions, and coordinating the creation of new MAG educational content.

The MAG Information Coordinator will report to the MAG Rules Coordinator and be a member of the MAG Rules Team.

Time Commitment Expectation: 1-2 hours/week

Description of Role: The MAG Nationals Coordinator is responsible for determining MAG portion of schedule, assigning sessions, deciding finals qualification numbers and awards numbers, running/planning coaches and judges meetings, confirming/inspecting equipment, and running/delegating sessions.

The MAG Nationals Coordinator will report to the MAG Rules Coordinator and be a member of the MAG Rules Team.

Time Commitment Expectation: 8 hours/week Mar-Apr

Description of Role: The MAG Educational Media Specialists will be responsible for creating educational videos to help membership learn new skills and better understand NAIGC rules.

MAG Rules Specialists will report to the MAG Rules Coordinator and be a member of the MAG Rules Team.

Time Commitment Expectation: 4-8 hours/month

Description of Role: The T&T Team Members work under the leadership of the T&T Rules Coordinator to manage and grow the NAIGC T&T program by attending monthly meetings with the T&T Team and taking on T&T tasks to complete between meetings. T&T tasks include but are not limited to annual evaluation of T&T Rules, assisting in Nationals planning and implementation, leading growth and outreach initiatives targeting T&T clubs and new meet hosts, developing educational materials for NAIGC T&T athletes, and developing marketing materials to engage new athletes and gyms. T&T Team Members may consider taking on an additional role within the Event Sanctioning team, the Growth and Outreach team, or the Public Relations Team. The NAIGC is looking for 5 T&T Team Members and encourages volunteers of all backgrounds to apply.

Time Commitment Expectation: 3-4 hours per month

Description of Role: The WAG Judge Coordinator is responsible for obtaining judges for Nationals, building relationships with judges across the nation, and helping build resources and guides to assist clubs and NAIGC volunteers find judges for competitions. The judge coordinator will also handle inquiries at Nationals. Ties to the USAG Women's judging community are strongly recommended.

The WAG Judge Coordinator should be a certified judge and will report to the WAG Rules Coordinator and be a member of the WAG Rules Team and the Event Sanctioning Team.

Time Commitment Expectation: 1-2 hours/week (3-4 hours/week March-April)

Description of Role: The WAG Educational Media Specialists will be responsible for creating educational videos to help membership learn new skills and better understand NAIGC rules. Applicants should have a strong understanding of video editing.

WAG Rules Specialists will report to the WAG Rules Coordinator and be a member of the WAG Rules Team.

Time Commitment Expectation: 4-8 hours/month

Description of Role: The WAG Team members work under the WAG Rules Coordinator to facilitate growth of the NAIGC WAG program. Team members will attend biweekly/monthly meetings to complete the teams yearly tasks. General tasks include deciding which levels to offer in sanctioned competition and updating the rules policies appropriately, developing a nationals proposal, creating educational materials for membership and assisting in Nationals planning and implementation. Team members may also serve in another WAG Coordinator role (excluding WAG Rules Coordinator)

Time Commitment Expectation: 3-4 hours/month (2-3 hours/week Mar/Apr)

Description of Role: Own and annually review the Decathlon National Championships Format, Answer eligibility questions, and Create schedule for Nationals.

Time Commitment Expectation: 1-2 hours/week

Description of Role: The UAG Team members work under the UAG Rules Coordinator to facilitate growth of the NAIGC UAG program. Team members will attend biweekly/monthly meetings to complete the team's yearly tasks. General tasks include deciding which levels to offer in sanctioned competition and updating the rules policies appropriately, developing a nationals proposal, creating educational materials for membership and assisting in Nationals planning and implementation.

Time Commitment Expectation: 3-4 hours/month (2-3 hours/week Mar/Apr)

Description of Role: Work with host clubs from time of sanction approval through competition date. Tasks involve communicating policies, requirements, and waiver completion status to contacts throughout via email, and mail, and completing award forms and submitting to team leader. Additionally, meet owners are required to review website postings to confirm sanctioned event data is correct. Event Sanctioning meet owners will report to the Event Sanctioning Leader and be a member of the Event Sanctioning Team. The NAIGC is looking for 4 Event Sanctioning Meet Owners.

Time Commitment Expectation: 1-2 hours per week

Description of Role: The Event Sanctioning team leader will manage meet owners, and lead the team, also acting as a meet owner if needed. The team leader is responsible for organizing meetings, delegating tasks, reviewing award order forms and submitting to awards vendor, reviewing award vendor art, and managing sanctioning requests for internal voting.

The Event Sanctioning Team Leader will report to the Events Department Head and will be a member of the Event Sanctioning Team.

Time Commitment Expectation: 2-4 hours per week.

Description of Role: Manages communication with insurance provider for competitions requesting insurance. Tasks include renewing insurance annually, apply for insurance for sanctioned events that request them, work with the Treasurer to make sure payment is made, providing certificates of insurance to sanctioned meet hosts, and obtaining the certificate of insurance for Nationals.

The Insurance Coordinator will report to the Event Sanctioning Team Leader and be a member of the Event Sanctioning Team.

Time Commitment Expectation: 1 hour per week.

Description of Role: Help provide workouts and videos for NAIGCfit. Provide healthcare services at nationals and other meets. Provide healthcare advice to members via the naigc-strength.com website. The NAIGC is looking for 3 Healthcare team members.

Time Commitment Expectation: 1-2 hours/week, possibly only at nationals.

Description of Role: Members of the Nationals Team will assist the Nationals Team Leader in all logistical planning related to nationals. Tasks include: banquet and award logistics, DJ/dance logistics, march-in, admissions, equipment layout, schedule, annual meeting, etc. The NAIGC is looking for 2 Nationals Team Members.

Time Commitment Expectation: 0-1 hours per week. Increased workload before nationals.

Description of Role: The Nationals Registration Coordinator is responsible for managing all aspects of Nationals registration from the time it opens in January through Nationals in April. They will answer nationals@ emails related to registration, crosscheck club registration pages and send reminder emails to clubs with incomplete registration, and modify registration after deadline has closed. This role will be busiest in the weeks leading up to Nationals, including the days leading up to each fee deadline, and it is expected that the Reg Coordinator is present at Nationals to assist the treasurer with team check-in. It is possible for this role to be shared between more than one person.

The Nationals Registration Coordinator will work most directly with the treasurer to facilitate refunds, and with the MAG/WAG team to assist with UAG and decathlon registration. The Coordinator will also communicate regularly with the rest of the Nationals Team.

Time Commitment Expectation: Dec. - April. 2 hours/week Dec-Jan. 4-6 hours/week Feb - March. 6+ hours/week April.

Description of Role: The Nationals Volunteer coordinator will be responsible for planning and recruiting membership volunteers to help at Nationals. Specifically these volunteers will be assisting with score entry during prelims and finals sessions, and also with equipment setup and tear down. This role will be busiest during January - April while actively recruiting and working with membership clubs, but there will still be planning work to be done prior to January. The ideal candidate for this role will be planning on attending and working at Nationals to facilitate on-the-ground coordination of the volunteers.

The Nationals Volunteer coordinator will report directly to the Nationals Team leader, and is expected to work closely with the Nationals Coordinator and the rest of the Nationals Team.

Time Commitment Expectation: 1 hour per week, potential for greater time commitment during Jan - April.

Marketing Department

The Marketing Department promotes, manages, and protects the NAIGC brand through the managing social media accounts, coordinating outreach within the gymnastics community and the public, maintaining and growing NAIGC’s sponsorships and donor bases, and growing the NAIGC’s membership base to support new clubs. To apply for any Marketing operations positions, please fill out this application form.

Description of Role: Review the branding guidelines, ensure their enforcement by approving all designs including the NAIGC brand (i.e. website design, outward facing documents, club shirts who wish to include the organization logo). Meet with social media team to ensure continued correct usage.

Time Commitment Expectation: 1 hour / week

Description of Role: Finding vendors and ordering T shirts for nationals and Flip Fest, membership gifts, physical store items. Coordinating replacement of and/or shipment of road boxes and storage unit items (judges' table runners, office supplies, photo op banners, etc.)

Time Commitment Expectation: 1 hour/ week July-December max. 4-5 hours/week December-April, depending on the week. Recommend creating a small team to evenly distribute work.

Description of Role: The G&O Team Leader will be responsible for setting long-term team goals and priorities; scheduling, setting agendas, and facilitating team meetings; assigning tasks and responsibilities to the relevant G&O team member/coordinator; and overall coordination of the efforts of the G&O team.

Time Commitment Expectation: 1-2 hours/week

Description of Role: The New Club Coordinator will be responsible for managing new club inquiries, providing resources and mentorship to new clubs, and developing resources for new clubs to supplement the New Club Starter Kit, among other resources. The New Club Coordinator will be responsible for responding to new club inquiries directed to them via the info@ account, social media, word of mouth, etc. The New Club Coordinator will develop and maintain documentation protocols/forms for new clubs, and assigning clubs mentors (G&O Team Members) as necessary. The New Club Coordinator will send informational emails on a period basis to new clubs.

Time Commitment Expectation: 1-2 hours/week

Description of Role: The Gym Partnership Coordinator will be responsible for developing and maintaining the NAIGC gym partnership program. As the gym partnership program is in its preliminary development stages, the Gym Partnership Coordinator will develop and test the framework for the program; recruit prospective partners to the program (predominately gymnastics facilities), and coordinating benefits for the program with other departments (e.g. Events Department, Membership Department). The Gym Partnership Coordinator will develop and maintain a list of gym partners to be available for other departments as needed.

Time Commitment Expectation: 1-2 hours/week

Description of Role: The Club Outreach Coordinator will be responsible for managing strategic growth of NAIGC collegiate and community clubs in alignment with the overall G&O team strategy. The Club Outreach Coordinator will identify colleges, cities, and regions with low club involvement and will promote the development of new club teams in that region. The Club Outreach Coordinator will work directly with the New Club Coordinator to facilitate entrance of new clubs into the NAIGC. The Club Outreach Coordinator will also facilitate the development of a platform where prospective members can engage with one another to form clubs within their region.

Time Commitment Expectation: 1-2 hours/week

Description of Role: The G&O Team Member will be a generalist position within the G&O Team. The G&O Team Member will be responsible for assisting the G&O Team Leader, New Club Coordinator, and Gym Partnership Coordinator in day-to-day activities.

Time Commitment Expectation: 0-1 hours/week

Description of Role: The Marketing Analyst will be responsible for managing Google Analytics as needed by the Marketing Department. The Marketing Analyst will develop and maintain a protocol to track the performance of the Marketing Department's initiatives, such as social media posts, advertisements, and the like.

Time Commitment Expectation: 1-2 hours/week

Description of Role: Responsible for managing all advertisement's for the NAIGC, working with design coordinator to design advertisements.

Time Commitment Expectation: 0.5-1 hour/week, with more involvement (up to 2 hours/week) around advertisement submission deadlines.

Description of Role: Responsible for managing engagement on the NAIGC social media accounts (Facebook and Instagram), including liking, sharing, commenting, and other forms of content promotion and brand awareness through engagement.

Time Commitment Expectation: 1 hour/week? can always spend additional time engaging with membership replying to comments/commenting on posts as desired.

Description of Role: Responsible for creating and posting the majority of the social media posts in accordance with our brand guidelines.

Time Commitment Expectation: 1-2 hours/week

Description of Role: Responsible for identifying marketing opportunities to increase brand awareness of the NAIGC through events, and planning attendance at these events (i.e. Nationals, Regional Congresses, etc.)

Time Commitment Expectation: 1 hour/week, with more involvement (up to 2-3 hours/week) around events.

Description of Role: Facilitates communication between the NAIGC and organizations within the greater gymnastics community. Represents the NAIGC on the USAG Advisory Council and meetings of other organizations when invited. Delivers periodic reports on the state of the gymnastics community and presents any relevant trends to the NAIGC Board. Develops joint initiatives with other gymnastics organizations and submits proposals to the Board for its approval at the In-Person meeting.  Along with the President and Executive Director, ensures consistent messaging on behalf of the NAIGC to other gymnastics organizations.

Time Commitment Expectation: 1-2 hours/week

Description of Role: Work with the Fundraising Team leader to maintain and grow NAIGC’s sponsorships and donor bases, identify and pursue leads and close opportunities for sponsorships, research and pursue grant opportunities, maintain sponsorship deck, implement deliverables on sponsorship contracts, and implement fundraising campaigns. The NAIGC is looking for 3 Fundraising Team Members.

Time Commitment Expectation: 1-2 hours/week

Membership Department

The Membership Department manages communication between the NAIGC and the membership. This department is responsible for developing surveys to obtain information from the membership, managing human resources for the NAIGC, and administering the NAIGC Scholarship Program. To apply for any Membership operations positions, please fill out this application form.

Description of Role: The HR Team Lead will oversee all components of the HR team. The HR Team will be responsible to educate members on our Code of Conduct and enforce said COC at all times. Tasks include: Assisting with all grievances, compiling and disseminating board evaluations, and a overseeing the mentorship program. The HR Team Lead will also be responsible for filling the duties of any HR members in the event the team is short staffed.

Time Commitment Expectation: 3 hours/week

Description of Role: The Grievance Coordinator is responsible for tracking and managing all Code of Conduct violations and grievances that are brought to the NAIGC as well as assembling a grievance panel when necessary.

Time Commitment Expectation: As needed (will fluctuate depending on grievances) Grievance Coordinator will oversee COC at Nationals and lead COC meetings.

Description of Role: The Mentorship Lead will be responsible for overseeing the onboarding and training of all first year volunteers. This role will require strong communication skills and be responsible for facilitating communication between mentees and mentors.

Time Commitment Expectation: 1-2 hours/week

Description of Role: The Evaluations Lead role is responsible for overseeing peer evaluations and performance reviews. This role also requires revision and further development of the current internal evaluation process to create a fair evaluation system.

Time Commitment Expectation: 4-5 hours/week during midterm and year end evaluations. Low time commitment at other times of year.

Description of Role: The HR Team Member role is to serve as the Teams "Jack of All Trades" for the team. The HR Team Member is required to be involved in all areas of HR and assist the Team however the Team Lead deems fit. The NAIGC is looking for 2 HR Team Members to join the team.

Time Commitment Expectation: as needed

Description of Role: The Survey Coordinator (or team if many interested) will reach out to other department heads for potential questions to include on the Nationals survey, the End of the Year survey, or any other survey that arises throughout the year. This individual or group will then generate and format the survey to be sent out to membership.

Time Commitment Expectation: 2-4 hours/month

Description of Role: The Office Hour team will engage with the general membership on a regular basis to disseminate announcement information and be available for any questions or concerns the membership may have. The spirit of this team is to provide transparency and be accessible to membership. The NAIGC is looking for 3 Office Hour Team Members and encourages volunteers of all backgrounds to apply.

Time Commitment Expectation: 1-2 hours a month, One person hosts a once a month office hour (typically 25-30mins)

Description of Role: The Communications Team Lead organizes and manages the Communications Team leaders and ensure that all tasks assigned to the Communications Team are completed well in a timely manner.

Time Commitment Expectation: 1-2 hours/month

Description of Role: The manager of Info@ (who is housed within the Communications Team) is in charge of making sure all received emails to info@naigc.org are replied to in a timely manner. They are in charge of delegating threads to the appropriate Ops specialist or answering the email themselves if the content is generic NAIGC information.

Time Commitment Expectation: 1-2 hours/week

Description of Role: The Announcement Email Coordinator is in charge of gathering relevant news and announcements from the each Ops department, composing the announcement email and sending it monthly via iContact to the entire membership. This coordinator is housed within the Communications Team.

Time Commitment Expectation: 2-4 hours/month

Description of Role: The Townhall Coordinator will initiate and organize the townhalls. Organizing the townhall includes (but not limited to): reaching out to relevant/knowledgeable Operations/Governance members to participate in the townhall, creating slides for the presentation, negotiating a date and time for the townhall, securing a zoom meeting link.

Time Commitment Expectation: parodically, one townhall every 2-3 months. Time commitment is dependent on frequency and intensity of townhall topic.

Description of Role: The Regionals Team Leader will support Regional Coordinators (RCs) and Regional Representatives (RRs) in completing their tasks and facilitate initiatives based on feedback from RCs, RRs, and Membership Department Head. The Team Leader is also responsible for organizing meetings, delegating tasks, and overseeing all RCs and RRs responsibilities.

Time Commitment Expectation: 1-2 hours per week

Description of Role: There will be one Regional Coordinator (RC) per Region. Regional Coordinators will facilitate each respective Regional competition. Specifically, they will initiate the bid process and work closely with the host club to plan a high quality competition, and make every effort to create a competition consistent in timing, rules, and format with the other NAIGC Regions. Additionally, RCs will work with the RR to maintain an up-to-date list of contact information for every club in the region, maintain an up-to-date calendar of competitions in the region, and assist in distributing critical and time-sensitive announcements and surveys to the region.

Time Commitment Expectation: 2-4 hours per week

Description of Role: Review applications and select scholarship winners. Manage form for application and coach's recommendation; make changes to form if needed.

Time Commitment Expectation: 2-3 hours per week mid-July to August; 0-2 hours the rest of the year.

Description of Role: Market and promote scholarships to potential applicants; outreach.

Time Commitment Expectation: 2-3 hours per week February-July; 0-2 during the rest of the year.

Technology Department

The Technology Department develops and maintains the NAIGC’s technology resources, performs IT tasks to support the operation of the NAIGC, and fabricates and maintains hardware resources. To apply for any Technology operations positions, please fill out this application form.

Description of Role: Responsible for coordinating and architecting NAIGC software resources. In charge of creating software specifications and organizing the progress of the Development team

Time Commitment Expectation: 5 hours / week

Description of Role: Software developer working on NAIGC custom software. This will predominantly involve web development in PHP. Experience in CSS, HTML, JavaScript, and SQL also handy. The NAIGC is looking for ~6 software developers to join the team.

Time Commitment Expectation: 3 hours / week

Description of Role: Leads IT team, maintains and seeks out new IT resources for the productivity of the organization. IT resources include any third party resource used by the NAIGC such as G Suite, electionbuddy, iContact, Dreamhost, etc.

Time Commitment Expectation: 3 hours / week

Description of Role: G Suite Manager & IT roles as needed

Time Commitment Expectation: 2 hours / week

Description of Role: Responsible for NAIGC WordPress site. Tasks include: Manage admin rights of other WordPress site users, instruct new users on updating their pages, manage WordPress plugins, perform miscellaneous content updates and respond to noted site errors, generate and new web pages, and revise site layout periodically.

Time Commitment Expectation: 3 hours / week

Description of Role: Responsible for maintaining and upgrading various hardware resources.
